Cybox

CyBox is the FERPA- and HIPAA-compliant file storage system at ISU. It allows you to store files in the cloud, sync to your computers, and collaborate with others. Files connected to your Canvas course will be updated automatically when changes are made in CyBox.

Getting Started

CyBox can be accessed anywhere with internet access.

To create or access your CyBox account, go to the CyBox website and log in with your Net-ID and password. Use the Box.com app when accessing from mobile device

Using CyBox with Your Canvas Course

You may embed a Cybox file or folder anywhere the Rich Content Editor is available within Canvas (i.e. Pages, Assignments, Discussions, etc.)

Note 1: CyBox settings must be set to allow anyone with a shared link to access the folder and file.

Note 2: Embedding a folder will grant students access to all materials within the embedded folder.

  1. Log in to Canvas and go to your course.
  2. Edit the page where you want to embed the folder.
  3. Paste the embed code and click Save.
  4. Click Edit to make changes to the page where you want to embed the folder or file.
  5. Click on the Box icon in the Rich Content Editor toolbar

  6. Click Select from Box.
  7. Select the appropriate folder or file by clicking on the circle to the right.
  8. Click on the Choose Access Type dropdown menu and select People with the link.
  9. Click Choose to add the file or folder.
  10. Complete remaining edits and click Save or Save & Publish.

Linking to CyBox Files from Within Canvas

Note: Linking a Cybox folder will grant students access to all materials within the linked folder.

  1. Open your Canvas course and select Modules in the course navigation menu.
  2. Identify the correct module and click + in the module header.
  3. In the Add dropdown menu select External Tool.
  4. Click Cybox in the tool list.
  5. Select the appropriate folder or file by clicking on the circle to the right.
  6. From the Choose Access Type dropdown select People with the link
  7. Click Choose.
  8. Complete the remaining settings and click Add Item.

Creating an Assignment with CyBox Submission

Note: It is not recommended to set the Canvas Assignment Submission Type to “External Tool” for Box.

In CyBox:

  1. Create a folder for your course.
  2. Click the 3 dot menu button to the right of the folder name.
  3. Select File Request.
  4. Select Settings if you would like to set a link expiration date.
  5. Click Edit.
  6. Make desired changes to title description, theme, and/or add additional fields.
  7. Select Save and Share.
  8. Click on the </> button to copy the upload embed widget code.

In Canvas:

  1. Create a new Assignment.
  2. Select the HTML editor button </> below the Rich Content Editor.
  3. Paste the upload embed widget code copied from Cybox.
  4. Under Submission Type select No Submission.
  5. Complete remaining assignment details and click Save or Save & Publish.

Grading Assignments with CyBox Submissions

If you created your assignment according to the specifications above, you can grade the assignment using the Speedgrader capabilities.

  1. Navigate to the Assignment, then click on Speedgrader on the right-hand side.
  2. The students’ submissions will display as a link at the top of the screen. Click the link (but do not click the Open in New Tab link).
  3. Grade as you normally would using the Speedgrader functionality.

Note: If you are unable to view the files in Speedgrader, prompt your students to follow the exact instructions listed below.

Using Groups for Collaboration

 Once you’ve created groups in Canvas, you can easily use these same groups in CyBox. Download the group file to get started:

  1. Navigate to the People page of your Canvas course
  2. Click on the appropriate group set
  3. Click the +Import button
  4. Download Course Roster CSV

To facilitate using this file for CyBox permissions, create a new column containing the email addresses:

  1. Open the file and locate the column labeled login_id (it should be Column D).
  2. Insert a column to the right and label it email_address (this should now be Column E).
  3. Click on cell E2 and enter =CONCATENATE(D2,”@iastate.edu”).
  4. Copy this formula into the remaining cells in Column E by using the fill handle.
    Excel fill handle is located in the lower right corner of the active cell.
    When you drag the handle to other cells, Excel will show different results for each cell, creating the email addresses you need.
    Rest your cursor in the lower-right corner of a cell, click and drag the fill handle down to fill.

Then, use these email addresses to specify access in CyBox:

  1. Sort your Excel file or filter for specific groups using the group_name in Column G.
  2. Select the appropriate email addresses in Column E of your Excel file and copy them by using Ctrl+C or ⌘+C on your keyboard.
  3. Navigate to the specific CyBox folders you wish to use.
  4. Click the Share button to add collaborators.
  5. In the Share window, under Invite People, click Add names or email addresses.
  6. Paste the intended collaborators’ email addresses by using Ctrl+V or +V on your keyboard, then press Send.
  7. Repeat Steps 1-6 for each group.

This course will use CyBox for file sharing and some assignment submissions. Visit the CyBox learning tool guide to view the terms of service, privacy policy, accessibility statement, and steps for getting started with CyBox.

Student Resources

Using CyBox with Your Canvas Course 

Before accessing CyBox in Canvas, you must authorize it within your account.

  1. Click Account in the Global Navigation menu.
  2. Select CyBox.
  3. If prompted, enter your ISU e-mail address.
  4. Drag the white cloud into the dark cloud.

Submitting a CyBox Folder/File for an Assignment

CyBox files can be submitted directly during the assignment submission process. If your instructor has enabled this option for an assignment, follow these steps to submit:

  1. Navigate to the Assignment in Canvas and click the Submit Assignment button as usual.
  2. Click on the CyBox tab.
  3. Click the button to Select from Box.
  4. You may need to authorize Box and/or sign in to CyBox at this time.
  5. Navigate to the folder specified by your instructor.
  6. Select your file(s):
    • (Optional) Click the Add File button in the top-right corner. This will take you to CyBox, where you will upload your files using the Upload button, and then return to Canvas.
    • Choose your submission by clicking the radio button on the right-hand side.
  7. Complete the submission process in Canvas.

Licensing

All faculty, staff, and students with a valid Net-ID have an unlimited quota of Cloud-based file storage at no charge.
